Part-time Administrative Assistant

Job Description

Position Summary

The Administrative Assistant will provide support to the Director of Operations with particular emphasis on data management and day-to-day office administration in a small yet busy museum located just south of Downtown Tucson.

The job starts at 15 hours per week and will increase to 20 hours per week beginning January 2019.  Occasional  weekend hours.  Opportunity for career growth.

Responsibilities

  •   Manage the donor database through timely and accurate updating and analysis

  •    Inputting donations, memberships and sending out acknowledgement letters and cards

  • Management of membership list, mailing lists and event registrations

  • Office administration

  • Ordering and maintaining office equipment/machines and supplies

  • Creating and maintaining digital and paper filing systems

  • Represent the museum to the public

  • Greeting visitors and communicating effectively with the public, board, community leaders in person or through e-mail, mail, and phone.        

  • Answer incoming phone calls and answering questions about the museum and the office.

  •  Respond promptly to phone and email inquiries

  • o   Confirming speakers and groups on a weekly basis

  • o   Confirming and scheduling volunteer docents and greeters

  • ·         Facility maintenance

  • o   Ordering building supplies

  • o   Understanding a/v systems in exhibits and troubleshooting problems

Skills and Qualifications

·         Superior attention to detail

·         Proficiency with database management.

·         Skilled in Microsoft Office Suite, Google Drive

·         Proficiency in Quickbooks, a plus

·         Team player

·         Enjoys working with the public   

Compensation
